Where they started
Maintenance records, inspection reports and quotes arrived by email and were renamed, filed and copied into spreadsheets by hand.
Every property manager filed things a little differently. Finding a document meant knowing who had filed it.
Management wanted to use AI without switching systems and without being tied to a vendor.

What we built
One consistent folder structure for every property, and per property one spreadsheet with maintenance plan, inspection plan, case list and weekly meeting topics.
One AI mailbox for all filing: the AI recognises property and document type, names the file consistently, files it, updates the spreadsheet and confirms by reply.
Meetings are minuted automatically and filed with the property. On top of that comes a weekly news radar drawn from 20 trade sources.

What comes next
The first order has grown into a partnership with one shared goal: AI excellence in facility management.
Many more projects are in the pipeline, including connecting the facility management software and accounting, reports per property and an app for the property managers.
Everything runs in Casa's own Microsoft environment. No system switch, no vendor lock-in.
